About the Pope Francis Center: Pope Francis Center exists to provide meals, supportive services, and housing assistance to Detroit community members in need, especially those experiencing homelessness. On an average day, we welcome over 200 guests and provide them with nutritious meals, showers, laundry, and access to doctors, dentists, lawyers, and housing providers through our free clinics. We have been serving Detroit’s most vulnerable citizens for over 30 years, and we envision a Detroit without homelessness, where every person has the resources for sustained stability.

Position Name & Description

The Community Scheduler & Volunteer Coordinator is a full-time position responsible for scheduling of meeting rooms and facility space for community use, as well as on-site supervision of the volunteer staff supporting the Bridge Housing Campus. Working under the Associate Director of Community Engagement and in coordination with the Residential Scheduler, the role will be a key component in providing opportunities for the community to fully engage in the Bridge Housing Campus. The Coordinator will monitor scheduling of and provide support to volunteers, promote engagement of the community, and steward relationships with volunteers and community partners.

 

Primary Responsibilities – Community Scheduling

  • With support from the Associate Director of Community Engagement, develop and maintain community scheduling reservation processes, policies, and procedures.
  • Respond to community meeting room and facility space reservation requests via phone and email.
  • Serve as an on-site point of contact for scheduled community groups.
  • Coordinate with resident Scheduler to ensure overbooking does not occur.
  • Collaborate cross-departmentally to ensure all stakeholders are aware of and prepared for community groups on-site, including but not limited to Security, Facilities, Philanthropy, and Program Departments.
  • Identify opportunities for further engagement and collaboration with community groups.
  • Assist in the recruitment and scheduling of community resources to support programming for residents.

 

Primary Responsibilities – Volunteer Coordination

  • Monitor volunteer scheduling, registration, and completion of necessary volunteer qualifications to ensure shift coverage.
  • Ensure volunteers are trained and equipped for their roles and responsibilities.
  • Greet, check in, support, and provide on-site supervision of volunteers.
  • Assist in maintaining training resources and materials for volunteers.
  • Track volunteer attendance and maintain accurate volunteer records.
  • Work with the program team to identify and meet evolving volunteer needs.
  • Communicate and engage with volunteers consistently to steward relationships.
  • Address and elevate volunteer feedback and concerns. 
  • Provide support to the Community Engagement Department during agency-sponsored events (Annual Gala, Thrive 5K, etc.) and large-scale volunteer days.

 

Additional Program Duties/Responsibilities

  • Act as a representative of the organization in the community.
  • Cross-training across the Community Engagement Department to provide coverage for gaps in staffing as needed.
  • Help staff to maintain a calm, pleasant atmosphere at the Bridge Housing Campus.
  • Other duties as assigned.

 

Qualifications

 

  • 2-3 years of experience in scheduling or coordination role
  • Volunteer experience or professional experience in a nonprofit setting
  • Outstanding interpersonal and communication  skills
  • Excellent time management and organization
  • Proficiency in Google Suite, Microsoft Office suite and scheduling software
  • Ability to work well with a diverse group of people
  • Flexibility to adjust hours to accommodate various needs, e.g. special events
  • Ability to effectively manage a wide array of tasks and responsibilities
  • Must have a desire and willingness to work with people experiencing homelessness

 

 

Physical Requirements

This job primarily operates in-person in a dynamic social services setting. This role requires the ability to lift 50 pounds independently; walk, climb, or descend stairs; kneel, bend, and twist; and occasionally operate a commercial vehicle to pick up and deliver items.
